Leaving gifts and workplace collections in the UK

Disclosure: The Group Gift Guide is operated by Gift Round Limited, which also operates GiftRound. See our ownership disclosure.

A leaving gift works best when someone volunteers to organise it early, sets a clear but optional contribution amount, and chooses a gift the colleague will actually use.

When to start organising

Start as soon as you know a colleague is leaving. Two weeks gives enough time to collect contributions, choose a gift, and arrange delivery before the last day. If notice is shorter, a simple online collection can still be set up and closed within a few days.

Aim to present the gift on the colleague's final day, or at a small send-off beforehand, so it does not arrive after they have already left.

Who to invite

Invite everyone who worked with the person, not only their immediate team. This usually includes their manager, close colleagues, people in other departments they collaborated with, and remote or hybrid staff.

Keep the invitation low pressure. A short message explaining the collection, the deadline and that contributing is entirely optional works well for people at every level.

How much people typically contribute

There is no fixed rule for a leaving gift contribution. A suitable amount varies with team size, how closely people worked with the leaver and how often collections happen. Suggest a comfortable range rather than a minimum, and make clear that not contributing is fine.

Longer service or a senior role sometimes leads to a higher suggested amount, but the amount should never be set so high that anyone feels unable to take part. Choosing not to contribute is always acceptable.

Organiser checklist

Use this as a quick reference when planning a leaving collection.

Choosing the gift

  • Something personal to their interests outside work, rather than a generic desk item
  • A shared card or memory book with messages from the team
  • A flexible gift card if their tastes are hard to predict or the group is large
  • An experience or voucher if the person has mentioned wanting to do something specific
  • A collection towards one meaningful item rather than several small gifts

Messages and cards

A card signed by the team, or a shared online card, adds a personal touch alongside the gift itself. Keep messages warm and specific: a shared memory or thank you tends to mean more than a generic line.

Including remote colleagues

Remote and hybrid colleagues should be invited on the same terms as anyone in the office. An online collection makes this straightforward, since people can contribute and add a message from anywhere, and the organiser can post or courier the gift if the leaver will not be in the office on their last day.

Collecting online with GiftRound

GiftRound is one option for running a leaving collection online. Organisers and contributors pay no fee, so 100% of contributions goes towards the gift. Contributions can range from £1 to £250, and a collection can receive up to £3,000 within the normal collection window of up to 60 days. Messages can be added alongside a contribution. Redemption is currently a FlexCard e-gift card, with no cash withdrawal, and GiftRound's terms set a maximum aggregate FlexCard value of £1,000 in one order.

Confirm current terms on GiftRound's own pages before opening a collection, since fees and limits can change.

Frequently asked questions

Is there a standard amount to contribute to a leaving gift?

There is no fixed standard. The right amount depends on the group and should always be optional.

Should the manager contribute more?

Some workplaces expect managers to contribute a little more, but this is a workplace norm rather than a rule, and no one should be made to feel they must pay a set amount.

What if the leaving date changes at short notice?

Close the collection as soon as you can and adjust the presentation date. An online collection can usually be closed early without losing contributions already made.
