What does a group gift really cost?

Disclosure: The Group Gift Guide is operated by Gift Round Limited, which also operates GiftRound. See our ownership disclosure.

The amount everyone chips in is rarely the amount the recipient receives. Processing fees, optional top-ups and card charges each take a slice — here is how to read the real cost of a group collection before you start one.

The three numbers that matter

When a group chips in for a gift, it is easy to focus on one figure: the target. Ten people, £10 each, £100 for the present. But three numbers describe what actually happens, and they are rarely the same.

The first is the total paid by the group — everything everyone hands over, including the organiser, who counts as part of the group. The second is the total cost: every fee, card charge and optional extra combined. The third is what the recipient gets. Whatever service you use, the first minus the second should always equal the third. If you cannot make those numbers balance from a provider's pricing page, keep asking questions before you share a link.

Where the costs sit

A one-off setup or card charge is paid once, usually by the organiser. Thankbox Classic, for example, charges £4.99 for the card itself — an official UK price verified on 23 October 2026 — paid when the card is sent, either separately by the organiser or deducted from the collection. It is not charged at creation.

A processing fee is charged per contribution. Collection Pot's published rate is 1.9% plus 20p per transaction; Thankbox adds 1.1% plus 17p to each gift. Small percentages feel trivial on one payment but multiply across every contributor.

Optional extras are the easiest to miss because they can be preselected. At Collection Pot checkout, an optional top-up has been reported as already added to each contribution — £2 on a £10 gift, for example — which first covers the processing fee, with the remainder supporting the platform. Optional means optional: a contributor can remove it, in which case the processing fee comes out of their gift instead. What matters is knowing it is there before you pay, and never confusing an optional tip with a compulsory fee.

Finally, check the gift format. Some services pay out cash to a bank account; others redeem as a gift card. GiftRound, which charges no fees at all, redeems every collection as a FlexCard e-gift card rather than cash — the right trade-off for some groups, the wrong one for others.

Try the calculator

The calculator below shows three illustrative group sizes — 10 people giving £10, 15 giving £15 and 20 giving £20 — across GiftRound and Collection Pot Standard. The same formulas drive the standalone calculator on our tools page, so the figures always match.

Fees, assumptions and sources

These are illustrative scenarios, not an exhaustive or live checkout quote. The group includes the organiser. Source pages were reviewed on 23 October 2026. GiftRound has no fees and redeems as a FlexCard e-gift card, not cash. Collection Pot Standard processing is 1.9% + 20p on the gross payment including any top-up. Calculations use whole pence, rounded to the nearest penny per payment, without adding processing twice. Live checkout rounding is unverified; limits and expiry are qualified in the sources below.

Collection Pot: optional top-ups and other pot types

The £2, £2.70 and £3.60 per-person top-ups were reported by Craig from checkout on 22 October 2026for these exact contribution amounts. They are examples, not universal defaults or independently verified preselection. The optional top-up covers processing first; any remainder supports the platform.

If every contributor removes the top-up, the group pays £100.00, processing is deducted from each contribution instead, and the recipient gets £96.10 (£3.90 of processing in total).

This models Standard Pots, not all Collection Pot products. Creation, the card and standard cash-out are free. Collection Pot advertises a fee-free Gift Card Only pot, but current availability and catalogue are unconfirmed with the provider. Its 5% cash upgrade is specific to Gift Card Only pots, not an ordinary Standard Pot fee. The £1.49 monthly storage charge starting six months after closure is excluded, assuming prompt redemption.

No single service is cheapest or best for every group: the choice depends on whether the recipient needs cash or a gift card. Confirm current terms before opening a collection.

  • Collection Pot pricing — Confirms the 1.9% + 20p contribution fee on the gross amount including any top-up, free creation, card and standard cash-out, the 5% Gift Card Only cash upgrade (not an ordinary fee) and the £1.49 monthly storage charge six months after closure (excluded from this model).
  • Collection Pot frequently asked questions — Supports the processing-fee rate and that an optional tip covers the processing fee first, with any remainder supporting the platform.
  • Collection Pot terms of service — Covers pot types, including Product Only pots, and post-creation pot-type changes.
  • Collection Pot: how it works — Advertises a fee-free Gift Card Only pot. Its current availability and catalogue are unverified — we have not confirmed them with the provider.

Reading the results

The calculator’s ‘Fees, assumptions and sources’ section sets out the dated snapshot, estimated rounding and the result without Collection Pot’s optional top-up. Open it to check the conditions and official sources before deciding.

Most of all: no single service is cheapest or best for every group. A fee-free collection that redeems as a gift card suits a recipient who values choice; a pot with a processing fee but a cash payout suits one who needs the money. Start with what the recipient actually needs, then let the numbers settle the rest.

What to do next

Once you know what the collection will really cost, the next step depends on what the recipient needs.

Frequently asked questions

Is the cheapest service always the best choice?

No. Cost is one dimension. The gift format matters just as much: a fee-free collection that redeems only as a gift card is the wrong choice if the recipient needs cash. Compare what the recipient gets and how they can use it, not just the fee line.

Is a preselected top-up a hidden fee?

It is optional, not compulsory — a contributor can remove it before paying. At Collection Pot the top-up first covers the payment-processing fee, with any remainder supporting the platform. What matters is that it is visible and genuinely optional, so check the payment screen before confirming.

Why do the calculator figures differ from a live checkout?

This is a snapshot calculated from published formulas, checked on 23 October 2026 — not a live quote. Providers change prices, round differently or localise by currency, so confirm the current figures on the provider's own checkout before opening a collection.

Sources and methodology

All figures are calculated in whole pence from published fee formulas: Collection Pot's 1.9% + 20p per transaction and GiftRound's no-fee model. Processing is rounded to the nearest penny per transaction and never added twice.

Source pages were reviewed on 23 October 2026. The Collection Pot top-up amounts were reported by Craig from checkout on 22 October 2026 and are examples, not universal defaults. Per-payment rounding is estimated and live checkout rounding is unverified.

This guide explains how group collection costs work; it is not an attack on any provider, and no service is described as the cheapest or best for everyone.
